The functionality to split guests into separate bookings will be useful in the following situations:
- Cases where individual bookings need to share a room - for example, a combination of individual bookings or bookings from different companies, etc. You do not need to create two bookings in advance. Instead, create one booking for two or more guests and select the "Split additional guests on check-in" option.
- Situations requiring you to split guests, e.g. due to early departure of some guests, etc.
How the Split additional guests on check-in functionality works
You can apply the function to both expected bookings and checked-ins. As a result of the split the following will happen:
- If during booking check-in, if you have indicated that the guests should be separated, the system will automatically split the booking into two, with the main guest remaining in the first booking and the other guests being transferred to the new booking. The two bookings will share the same room.
- The second booking created by the splitting is a copy of the first one, with all the main data being transferred. There is a peculiarity in the number of the second booking. Instead of receiving a new number, as is usual when copying, the number of the second booking is like the number of the first one with ".2" added at the end. That is, if the original number was "L12002", the number of the split booking will be "L12002.2".
- When splitting the bookings, the price will also be split. The split is proportional to the guests. This means that if there are 2 guests, the price will be split in two, and if there are three guests - the first booking (with the main guest) will receive 1/3 of the price, and the second (with 2 guests) 2/3 of the price. The split price is recorded as a manual price in the two bookings.
Note: We would like to remind you that to bookings using rates from Tour operator contracts, the system cannot apply the set manual price.
- The split function can also be invoked manually. This can be done both before check-in and after check-in.
Important: In order to be able to apply the Split additional guests on check-in functionality, two conditions must be met for the booking:
- To have an allocated room;
- The booking is to be for more than one guest and have the corresponding number of guests (profiles) added.
Application of the Split additional guests on check-in functionality
Room sharing
If guests from the same room need to be processed separately, requiring them to be in separate bookings, here is how to create that booking:
- Create one booking for all guests and activate the "Split additional guests on check-in" option;
- In the "Guests" section of the booking, add the required number of guests;
Once you have prepared the booking in this way, upon check-in, the system will split the guests into two separate bookings and check them into the allocated room.
Splitting guests after booking check-in
If after booking check-in, guests need to be separated, follow the steps:
- Open the booking for editing;
- From the "Options" button select "Split additional guests".
Tip: The manual feature for splitting guests can also be used for bookings that have not yet been accommodated, as long as the necessary conditions are met - an allocated room and a sufficient number of guests.
Tip. If the booking contains more than two guests and you would like each guest to have a separate booking, you can apply the feature again to the already separated guests.
