Depending on how your accounting department works, you can get two different sets of revenue reports in Clock PMS+:
- Charges reports - they provide information on the value of services provided during the specified period;
- Closed folios reports - contain data on the amounts of folios closed within the specified period;
Charges reports
The charge reports work on the principle of day-by-day revenue recognition.
For example: nights from 1st January are recognized as revenue for 1st January. Find more details in How does Clock PMS+ revenue system work?
Here are the reports that follow this principle and the data they provide:
Charge Summary Report
The main charge report provides information on recognized revenue. You can use this report to review past periods or to forecast expected revenue based on existing hotel bookings and planned events for the period. Additionally, the report allows you to obtain aggregated revenue data from all accounts in the subscription. Here's how the filters work:
- Period (1) - set the period for which to summarize the data;
- Company (2) - select a specific company to include only revenue from that company's bookings and events;
- Source (3)- allows you to select charges based on their source:
- Transferred- charges added to the account for which the report is run, originating from another account or external system, e.g., transferred from the POS system.
- Not transferred- includes only charges generated in the selected account (hotel);
- All- all charges (Not Transferred + Transferred).
- Group by (4) - requires at least one level of charge grouping. By default, grouped by Revenue Group. You can set up to 3 levels of grouping, choosing between Revenue Group, Revenue Category, Charge Description, and Company.
- Authorized accounts (5) - choose the accounts for which the report will be executed. By default, the report is run from the executing account;
According to the grouping selected, you will receive varying levels of report detail.
- Charged value (6) - values in this column are presented in the currency in which each service was charged;
- Net/VAT/Gross (7)- calculated columns based on "Charged Value," following the Tax Regime chosen for the account. Amounts are presented in the folio currency where charges are recorded.
Charge Summary D-M-Y
This report allows you to compare revenue across identical periods over different calendar years. The main filters are the same as in the previous report, with these differences:
- Date (8) - choose the date to generate the report for;
- Comparison year (9) - enter a comparison year if desired;
- Currency (10) - select the currency in which to calculate values;
- Value type (11) - select the type of values - Charge Value, Net Value, Gross Value, or Tax Value.
The report format is Day/Month/Year. Assuming the report is executed for 15.11.2024, here’s how each column is calculated based on the selected Report Date:
- Day (12) - shows the revenue recorded on the date the report is executed (15.11.2024). For the comparison year, it shows revenue for the same date (15.11);
- Month (13) - shows the revenue recorded for the month containing the report date, up to that date (01.11.2024-15.11.2024). Monthly data for the comparison year is calculated similarly (01.11-15.11);
- Year (14) - shows the revenue recorded for the year containing the report date, up to that date (01.01.2024-15.11.2024). Yearly data for the comparison year is calculated similarly (01.01-15.11).
Charge Segmentation Report
This report enables in-depth revenue analysis by applying various data segmentations. Some filters are identical to those already discussed, here’s how to use the remaining ones:
- Date of (15) - choose how to apply the selected report period:
- Revenue date - displays revenue recorded within the selected period;
- Service date - shows the value of services applicable to the selected period, regardless of when revenue is recorded.
- Show (16) - choose the frequency for data aggregation - by dates, weeks, months, or overall;
- Indicators (17) - check the indicators to include in the report;
- Segments (18) - choose data segmentation. At least one segment is required. You can combine different segments as needed.
Occupancy and Charges
This report allows you to compare revenue with the occupancy level of your hotel. Data can be used to analyze past and future periods. Along with familiar filters, two more are added here:
- Room type (19) - allows filtering revenue and occupancy data by specific room type;
- Guarantee (20) - select whether data should be based on all bookings or filtered for Guaranteed/Non-guaranteed bookings. Useful when analyzing future periods.
The key to know about revenue here is that only Room and Package revenue groups are included.
Occupancy and Charges D-M-Y Report
This report allows you to compare occupancy and revenue over identical periods across different calendar years. Data is in Day/Month/Year format and is calculated similarly to the "Charge Summary D-M-Y Report".
Closed folios reports
The closed folios reports can be used by companies that follow a document-based revenue recognition principle. In this accounting model, the revenue is recognized when the invoice for the respective services is issued.
For example: the revenue for 1st January is made up of the services invoiced on 1st January.
Here are the reports that follow this principle:
Closed Folios Report
This report provides a list of all folios closed within the specified period. Here are the options offered by the filters:
- Service/Deposit (21) - separate folios for services and deposit folios;
- Base/Correction (22) - filter issued corrections within the period as positive or negative corrections;
- Source (23) - applicable when the report is run for a POS account:
- Transferred- if upon closure, charges from the folio are transferred to a hotel account folio;
- Not transferred- folios closed and paid in the POS account;
- Company (24) - filter to list only company-closed folios, folios closed to a specific company, or folios not closed to companies;
- Currency(25) - filter folios by currency;
- View (26) - determines report detail level:
- Details - shows contents of each folio;
- Summary- compact view, including recipient, folio amount, balance, and link to booking or paying company.
- Paid (27) - separates the list into Paid and Unpaid folios, meaning those without payments or with insufficient amounts;
- Fiscalized (28) - for those with fiscal policies including fiscalization, generate lists of fiscalized or non-fiscalized documents;
- Valid/Voided (29) - filter to list voided documents by validity status;
- Document types (30) - generate separate lists based on document type, e.g., a list of issued invoices.
Tax Report
The "Tax" report provides a list of closed folios, with fewer filtering options than other reports. You can’t view the entire folio content, but the detailed view includes recipient information and tax breakdowns by type.
Closed Folios Summary Report
This report provides summary data on the services included in folios closed within the period, with detail to the level of Revenue Category. Data is grouped by folio currency. Here you also have a reduced filter list. The "Folios by Company" filter allows you to extract the services registered in the folios of a specific Company.
